Booking Step 1 - Check Availability


Before you book we need to make sure that the type of accommodation you require is still available.

At the end of each available itinerary there is a short form to fill in, asking for details of your booking requirements. Enter your name, email address, the number and type of room(s) you require, and the flight option you choose, then click on the 'Check Availability' button. We will receive your enquiry almost instantly and will get back to you as quickly as we can.
You can also check availability by calling us on the UK telephone number 020 8133 0889 (charged at normal rates).

When we have confirmed that your requirements can be met, you will need to read and agree to our booking conditions shown below, and then complete and return the booking form to us, along with payment of the required deposit.
After we have received the completed and signed booking form and received payment of the deposit we will issue a confirmation invoice confirming your booking.

  • The Contract
  • From the moment we receive your signed booking form and initial payment, a contract exists between you and Thomas Martlet Ltd.
  • Insurance
  • You must arrange travel insurance to cover medical treatment, repatriation, loss of property and cancellation costs etc. If you are having difficulty in finding insurance we may be able to help. Click here for more details (this information will open in a new window).
  • Passports and visas
  • British citizens must have valid passports for all tours outside the United Kingdom. Beware : your passport needs to be valid for six months beyond the date of the tour. If you are not a British Citizen you need to find out whether you require a visa and if so, you also need to obtain one from the appropriate authority.
  • Your age and health.
  • There is no age limit for participation in these tours. However, all our tours involve a certain amount of walking. If you are too infirm to keep up, you will not be able to take part in all the excursions.
  • Pricing & Payments
  • We reserve the right to change the price of a tour until you have made a firm booking and paid a deposit.
    Once booked there are circumstances in which the price may have to be changed. These include:-
    • Transportation costs – changes to aviation insurance & security fees, airline fares, fuel surcharges, airport taxes, levies and fees.
    • Government imposed taxes – eg VAT or environmental taxes.
    • Exchange rate fluctuations of more than 2% since the time of costing the tour.
    If the surcharge amounts to more than 10% of the original price of the tour, you will be entitled to cancel and to receive a full refund of monies paid.
    Payment of the balance of the tour price is due 2 calendar months before the departure date, though for some tours this be earlier.
  • Flight options
  • Most of our tours have the option to include or exclude the group travel arrangements at the beginning and end of a tour, allowing you the possibility of making your own independent travel arrangements. Please note, that if you choose to travel independently, as tours can be cancelled if there are insufficient numbers, you should not commit yourself to any arrangements that cannot be altered or refunded until you have had confirmation from us in writing that the tour will definitely operate . We cannot refund monies or be held liable for any travel arrangements you may have booked before this written confirmation has been given.
    Group flight details and departure airports given on our website and other documentation are provisional only and cannot be guaranteed. Airlines reserve the right to change timetables and departure airports. Changes made to carriers, flight times or departure airports do not entitle you to cancel your booking. Should you decide to do so normal cancellation charges would apply.
  • If you cancel
  • If you have to cancel your participation on a tour, there will be a charge which varies according to the period of notice you give.This period is calculated from the date on which we receive your letter confirming the cancellation.
    If you cancel more than 8 weeks before the tour you will lose your deposit.
    Thereafter a percentage of the total cost of the tour will be due:
    • between 56 and 29 days: 40%
    • between 28 and 15 days: 60%
    • between 14 days and 3 days: 80%
    • within 48 hours: 100%
  • If we cancel
  • If eight weeks or more before a tour there are insufficient bookings for it to be viable, we may have to cancel it. You would receive a full refund of any monies paid. NB We cannot refund any independent travel arrangements made to join a tour if these were made before you had written confirmation from us that a tour will definitely operate – see ‘Flight options’ above. We would also cancel a tour if hostilities, civil unrest, natural disaster or other circumstances amounting to force majeure affect the region to which the tour was due to go.
  • If we make changes
  • Circumstances sometimes arise which prevent us from operating a tour exactly as advertised. We will generally provide an alternative, but if the change represents a significant loss to the tour we would offer compensation or give a full refund if that alternative is not acceptable to you.
  • Your Financial Protection
  • When you buy an ATOL protected air holiday package from us you will receive a Confirmation Invoice from us confirming your arrangements and your protection under our Air Travel Organiser’s Licence number 6873.
    In the unlikely event of our insolvency, the CAA will ensure that you are not stranded abroad and will arrange to refund any money you have paid to us for an advance booking. For further information visit the ATOL website at www.atol.org.uk
    The price of our air holiday packages includes the amount of £1 per person as part of the ATOL Protection Contribution (APC) we pay to the CAA. This charge is included in our advertised prices.
    Not all holiday or travel services offered and sold by us will be protected by the ATOL Scheme. Please ask us to confirm what protection may apply to your booking.
  • English Law
  • The terms and conditions of your contract with Thomas Martlet Ltd are governed by English law. All proceedings shall be within the exclusive jurisdiction of the courts of England and Wales.
